WRITE UP ON REPORT GENERATION AND FINALISATION OF CONTRACTS

For any project or purchase Order finalisation some general points have to be considered.

For all supply of equipments purchase orders have to be placed. Purchase Order should be drafted as follows:

It should described the scope of work, delivery schedule, contracts price, transfer of title of goods, binding weight, payment terms, price variation, liquidated damages, training and general terms and conditions with all proper annexures.

Contract price should mention the cost of commissioning spares, insurance spares and two years operation and maintenance spares.

Contract price should be evaluated either excluding excise duty and central sales tax or a total amount of the duties on base date should be mentioned.

The equipments should be manufactured and supplied by the approved technical specifications,design standards and standardisation and codification.

Contract drawings , documents and manuals should have clear scope, Name plate and drawing format, numbering system, working documents, on scope of supply and drawings list with schedule, specification of work, general arrangement and layout drawing and detailed engineering drawings, load data, bill of materials, assembly and erection instructions and drawings, spare list maintenance and operation manuals , documents with delievery of equipments etc.

MOBILISATION OF WORK

  1. Establish adequate infrastructure and maintain at site comprising of construction equipments aids, tools and tackles and material handling equipments, including setting up of the site office with facilities such as power, water, communication etc. establishment of organisation comprising of Resident Engineer, Supervisory personal and adequate of skilled, semi-skilled and unskilled workers.
  2. Established infrastructure should be able to complete the entire work in accordance with the agreed time schedule of completion.
  3. Concerned person should make all necessary arrangement to load, unload and transport all equipment and technological structure from Railway Station etc. to the stores at site. Al the equipments neatly at the designated area as directed till erected.
  4. The electric power for erection work should be metered and charged at the rate agreed in the contract. Necessary switches, fuse units, cables shall be installed and maintained, the installation shall comply with the prevailing electricity rules / acts. The person should have clear knowledge about the contract price, terms of payment, scope of work, price/billing schedules, price variation, mobilisation of work, delivery schedule and completion schedule.
